Put the apartment in the record, not the label.
A refrigerator labeled UNIT-117 becomes wrong the moment it moves to another apartment. FRIDGE-001 stays true. Keep the current unit, storage bay, technician, condition, and work status in the record behind that asset ID.
The physical label survives the turnover. The record changes when the asset moves, needs repair, or returns to inventory. That keeps the history attached to the equipment instead of whichever apartment had it last.

Record the facts people ask for during turnover.
Start with the stable asset ID, current unit or storage location, model and serial number, one clear photo, condition, and current status. Add warranty documents or service notes only when the team actually uses them.
Do not tag every screw, filter, or supply. Label the durable assets whose location, condition, or history creates repeated work when the answer is missing.
